Duplication Services

 
The Gallaudet University Archives offers a wide array of duplication services to our patrons, including photocopying, photographic, scanning, and visual reproductions. All requests for such services may be made either in person at the Archives' Reference desk or via e-mail to archives@gallaudet.edu. Please visit our Fee Schedule page to review costs for our reproduction services. Please note that all requests are subject to review by archival staff due to preservation and conservation concerns. The archives abide by the copyright laws of the United States and may deny requests for reproductions if the request is deemed to violate such laws.

Rush Service is available for an added surcharge and is available as our schedule permits.

FEE SCHEDULE

Photocopy Policy:

Photocopies are made subject to copyright law and are subject to the physical condition of the requested material. All items must be credited properly. Photocopy requests must include the title of the item, the call number of the item, and the page number. We provide small strips of paper to serve as place holders. Please wait until the end of your research session before requesting photocopies. Insufficient information may delay the photocopy process, and can on occasion prevent the request from being honored. All photocopying is done by departmental staff due to the fragile and unique nature of archival materials.

Photographic Reproduction Policy

Conditions:

This policy applies to the photograph reproduction services provided by the Gallaudet University Archives. 

  • All photographs and negatives are the sole property of the Gallaudet University Archives. 
  • To credit properly. Use basic credit line: “Gallaudet University Archives.”  When provided, the photographer’s name must be used in the credit line. 
    • For published materials, the credit line should read easily.
    • For films, filmstrips, and video presentations, include credit within the “Sources for Illustrations” or “Credits” section of the production.
    • For exhibitions, credit should appear in the exhibition area, preferably directly below or adjacent to the copy prints.
  • The Archives requests one complimentary copy of any published work, including CD-ROM and/or DVD products, in which the photographic copy appears.
  • To not permit others to reproduce the photographic copy, electronic transmission or any facsimile of it.
  • In authorizing the reproduction of works in its collections, the Gallaudet University Archives does not surrender its own right to publish or grant permission to others to do so.  It should not be assumed that permission to publish materials is automatically granted through the purchase of prints and scanning images. A formal request should be submitted in writing and include information regarding the subject of the publication or production, media or any electronic format in which the image is to appear; the title of the publication production; the purpose of the project; the audience; and the anticipated date of release. 
  • Gallaudet University Archives reserves the right to limit the number of photographic or xerographic copies; to restrict the use or reproduction of rare or valuable materials, and to charge different fees than the ones published herein.

Procedures:

  • Contact Archives by email: archives@gallaudet.edu for an appointment to identify, review, and submit requests for prints of photographs. 
  • A staff member will bring original or re-prints, if available. 
  • Researchers will be provided a pair of white cotton gloves to wear while viewing actual prints to protect the quality of the photographs. 
  • When specific photographs have been identified, and the patron is ready to place an order, a form will be provided. 
  • Requests for prints and scanning of photographs generally take two weeks depending on the size of the order, the amount of copy work required, and other departmental work. 
  • Because Gallaudet University Archives uses the services of an off campus vendor to reproduce photographs, a courier service is used and the charge for this service will be passed along to the patron. 
  • If photographs have been retrieved for order purposes, but the order has not been completed within 2 weeks, they will be returned to the collection after the order date.
  • All orders must be paid in full before we can process requests. Charges vary depending on the nature of the order, which could include the actual cost of the reproduction, a $5 processing fee and a delivery fee. 
  • Only cash and checks are accepted. Faculty and staff from Gallaudet University departments may use an interdepartmental invoice to place an order. 
  • Checks should be made payable to GALLAUDET UNIVERSITY and sent to the attention of the Archives Technician. 
  • If there are more than 5 photographs, a search fee $5.00 of must be paid before retrieval.

Digital Reproduction Policy

As a cost saving and time effective measure, the Gallaudet University Archives has begun to offer digital reproductions of its holdings as an option for researchers. Such reproductions must be done by Archival Staff only and must remain properly credited. The conditions and procedures for photograph reproductions are also in effect for digital reproductions.

Visual Materials Reproduction Policy

The majority of electronic media holdings in the archival holdings are obsolete and use formats that are difficult to access. Not all of our films and videotapes are accessible to patrons for viewing. Copies may be made on demand, providing that the patron covers the charge of such reproduction. Please contact archival staff in advance to determine accessibility. The cost for reproducing films and videotapes are quite steep, due to using professional vendors to prepare, handle, and create reproductions in addition to being quite time-consuming.
